This is the heart of the POS process, from product selection to payment.

  • Item Capture: Quickly adds items to the sale via barcode scanning, QR code reading, manual SKU entry, or touchscreen selection.

  • Price and Tax Calculation: Automatically applies the correct unit prices, bulk discounts, and calculates applicable sales taxes (e.g., VAT/GST) based on location and product type.

  • Cart Modification: Allows for item returns, exchanges, price overrides (with manager approval), and splitting orders (e.g., dine-in vs. takeaway).

  • Payment Processing: Accepts and processes multiple payment methods in a single transaction—cash, credit/debit cards (via integrated card readers), mobile wallets (Apple Pay/Google Pay), gift cards, and store credit.

  • Receipt Generation: Prints or emails a detailed receipt, including line items, taxes, discounts, and payment breakdown.

3. The Post-Transaction Phase (Fulfillment & Data Capture)
This stage occurs after the payment is finalized.

  • Inventory Decrement: Automatically deducts sold items from the real-time inventory count, triggering low-stock alerts if thresholds are reached.

  • Sales Recording: Logs the transaction to the central database for accounting, sales analytics, and reconciliation.

  • Order Fulfillment Triggers: For restaurants or made-to-order items, the POS sends the order details directly to the kitchen or production display screen.

  • Customer Feedback/Loyalty Update: Updates the customer's purchase history and awards loyalty points for future use.
